Channel Partners Deliver Estates and Facilities Management Solution at Latymer School

Working in partnership with Avanquest ProcessFlows, MDT Systems has developed a Document Management system specifically designed to meet the unique requirements of school Estates and Facilities Managers.

Independent Schools like Latymer, which was founded on its present site in Hammersmith, London in 1888, have historic roots and their sites will reflect this. Historic buildings, new classroom blocks, labs, additional sports facilities and service improvements all add up to complex and often disparate sites, each with their own set of documentation.

For the first time in over 100 years, all records needed to efficiently manage the Latymer School estate and facilities are centralised and available for look-up in electronic format from the desktop – no more trips to individual departments or the school’s cellars to hunt around for that one bit of information that’s missing.

The system, marketed by MDT Systems as RapidACCESS, provides a low-cost, complete Estates Information Management System - a secure, searchable database for the storage and archiving of documents (any type - paper, email, electronic, CAD etc). Documents can be located within seconds, even years later, giving managers the information they need to accurately handle space-planning and precisely asset-manage the site.

RapidACCESS has been developed using Open Text Document Server, Alchemy Edition document management software. The initial configuration provides a full range of electronic document management features to assist in the running of the school’s Estates and Facilities Management functions, but the school is looking to further maximise their investment by rolling-out the application to include old boy records, student records and finance documentation.

Tom Fisher, Latymer’s Estates Manager said, “We’ve rationalised our data-formats and greatly reduced paper-storage space. We have been able to cut heating and ventilation costs as a result of the reduced storage facilities required and the information needed for decision making is instantly available to us via RapidACCESS. The documentation coming in to us at each stage of our continual re-building programme slots straight into the system, so we can find what we’re looking for easily and quickly, regardless of whether it’s brand new information or over 100 years old.”

One immediate result from the information integration created by the system has been the production of the first full-site-plan since the school was originally developed in the 1880s.
